    Responsibilities

    Job Summary
    This position is responsible for providing personalized and professional coordination and communication regarding all financial aspects of care for those patients being cared for within the bone marrow transplant or hematological malignancy programs. The coordinator serves as a point of contact for BMT staff and clinicians, as well as patients, in ensuring that patients have adequate insurance coverage for pre-transplant evaluation, transplant procedures, and subsequent aftercare. Additionally, the coordinator will also provide this same support for non-transplant patients belonging to the hematologic malignancy service, including leukemic patients and those moving forward with clinical trials. This coordination includes providing education to patients and families regarding their financial obligations, offering information regarding additional health coverage for which they may qualify, and assisting in the procurement of additional information from specific agencies and managed care organizations. Such role is also responsible for coordination and verification of benefits and authorization in both hospital and physician billing environments.
    • Performs pre-registration/registration processes. Partners with the clinical care team to determine initial authorizations needed based on the predicated care treatment plan. Obtain patient insurance benefit information for all aspects of treatment, including, but not limited to, inpatient and outpatient services, prescription drugs, and travel and housing, if necessary.
    • Verifies insurance coverage and obtains authorizations and notifications throughout the patient’s treatment. Obtains all necessary signatures and documentation required by the patient’s insurance plan. Accurately and completely documents all information in the EMR to ensure maximum reimbursement. Monitors and updates information regarding insurance data, authorizations, preferred providers, and changes in patient’s treatment plan. Partners with the clinical care team and insurance provider to ensure continued coverage of patient’s care, maximum reimbursement, and minimized financial impact to the patient.
    • Ensures transplant candidates are listed appropriately in regards to their status as potential recipients, and maintains necessary records, including transplant zone authorizations in coordination with transplant coordinators to enable timely and accurate billing. This includes strict record-keeping in regards to patient’s primary and secondary insurance coverage, contact information for payors, and updated prior authorization documentation. Authorization numbers must be maintained by phase of care (zone), primary physician, admission date, etc. .
    • Identifies the payor requirements and additional information necessary to process authorizations and pre-approvals. Submits required information and documentation, and follows-up in a timely manner with all payors. Improves overall authorization rates within the hospital and professional billing systems, and notifies management of problem accounts that hold a risk of financial loss.
    • Educates patients and families regarding adequate insurance coverage. Understands hospital and physician billing requirements in order to communicate proper procedures and requirements to patients and families. This includes initiating problem solving and resolution of insurance barriers to transplantation and treatment, including assisting patients with identifying and applying for alternative insurance, financial aid, or charity programs, where available
    • Assists with scheduling of inpatient and outpatient hospital admissions. Registers patients and creates various hospital accounts for outpatient procedures and diagnostic tests. Notifies insurance case managers of clinical testing updates, patient admissions, and discharges.
    • Develops and maintains financial reference guides, including guidelines for reimbursement, State and Federal regulations, and payor specific policies. Maintains current updates received from third party payors referencing authorization and reimbursement requirements.
    • Communicates and partners with the patient financial services (PFS) billing and collections teams to enable timely and accurate billing with appropriate prior authorization verification, where necessary.
    • Performs charge entry tasks for the National Marrow Donor Program (NMDP) and Blood Systems Laboratory (BSL) services, as necessary to facilitate appropriate billing and collections for all patients, including NMDP donors.
