  • Overview

    HonorHealth is looking for an experienced Medical Assistant to fill the role of the Coordinator (Back Office) in the Heart Group on the JCL campus at N. 3rd St & E. Dunlap Rd. There are 38 staff members that make up this team of experts, including Cardiologists, RNs, EPs, MAs, Schedulers, Echo, NUC and Device Techs along with CVTs, that support the cardiac patients seen by this team. This is a large, multiple site and fast growing team. Each day is something new and always a challenge while working in a fun and fast-paced environment.     High School Diploma or GED Required

    1 year experience in a physician office environment. Required

    Licenses and Certifications
    Basic Life Support (BLS) Required
    Certified or Registered Medical Assistant OR completion of a Medical Assistant program that meets the BOMEX training guidelines OR completion of a United States Armed Forces medical services training program OR meet necessary guidelines as described in Arizona Board of Medical Examiners Administrative Code, Title 4, Chapter 16, Article 4, Section R4-16-401, paragraphs A and B prior to start date. Required
    Fingerprint Clearance Card - State Have a current Fingerprint Clearance card, or within seven (7) working days after employment shall apply and be eligible for a Fingerprint Clearance Card (NOAH Clinical Sites and Pediatric Behavioral Health Sites ONLY) Required


    Job Summary
    The Back Office Coordinator is responsible for coordination of back office's operations and providing the optimum level of care. Assists with hiring and performance evaluations of staff and day-to-day operations. Coordinates the back office operations of the extended hours program. Serves as a mentor and PN resource to assist in meeting regulatory requirements. Provides cross coverage support for Practice Manager. Knowledge of medical front office procedures. Answers phone messages promptly. Maintains clean, neat and well-stocked exam rooms.
    • Assists with hiring, training, and supervising the back office staff and maintaining established state and federal standards.
      Precepts and supports Medical Assistants.
      Interviews, coordinates, and precepts externs/students.
      Ensures the operation of the back office is within established guidelines, monitors for compliance.
      Responsible for meeting established requirements of OSHA, ASDHS and other regulatory agencies to provide a safe environment.
      Assists Director/Practice Manager at other clinics within the network for meeting established requirements of OSHA, ASDHS, and other regulatory agencies to assist in providing a safe environment.
      Coordinates ACLS, BLS, CPR, PPD, EHS compliance for providers and staff.
      Ensures back office is fully staffed and supervises the daily operations of the back office.
      Responsible for employee review process within department.
      Ensures all proficiency exams, quality controls, equipment checks and logs are done accurately and timely.
    • Oversees general back office staff support to providers.
      Ability to assist in developing procedures to triage patients.
      Obtaining patient vital signs as evidenced through documentation.
      Obtaining patient and family medical history, social history and other information required by provider for patient evaluation as evidenced through documentation and audit.
      Recording of reason/purpose for office visit.
    • Provides cross coverage/support for Practice Manager
      Responds to security/alarm calls. Responsible for resetting alarm.
      Processes and submits practice payroll in Manager’s absence.
      Responsible for opening the safe in Manager’s absence.
      Assists Manager in maintaining building security/access (Winpak).
    • Responsible for Electronic Health Records:
      Continually maintains Health Insurance Portability and Accountability Act (HIPAA) and other HH compliance requirements.
      Enters medical information into patient electronic medical record (EMR) system. Ensures all required information is keyed thoroughly and accurately.
      Views medical information in patient EMR system.
      Enters non-clinical information into patient EMR system. Ensures all required information is keyed thoroughly and accurately.
      Views non-clinical information in patient EMR system.
      Independently formulates information to be entered into EMR.
      Obtains information to be entered from multiple sources such as providers, nurses, etc.
      Logs, tracks, and resolves issues within specific timeframe to ensure accuracy and timeliness of data entry.
      Proactively takes ownership of issues and participates in problem resolution process: escalates issues to designee as necessary.
      Brings errors and/or issues to the attention of designee
      Navigates through multiple complex EMR screens and enters data
    • Assists providers with exams as needed.
      Assists with minor surgeries, patient exams and other procedures as directed.
      Provides assistance with obtaining urinalysis, phlebotomy, bandage changes, screening audiograms, EKG’s and any other physical examination as needed.
      Must be well-versed in applying first aid to patients as needed, sterile techniques, proper handling of contaminated body fluids and use of proper body mechanics.
      Administers vaccines and/or other required injections.
    • Coordinates the back office operations of the extended hours program.
      Hires, trains, and supervises extended hours back office staff to ensure compliance with established guidelines.
      Processes and submits back office payroll hours.
      Responsible for employee review process within department.
      Ensures back office is fully staffed and supervises the operations.
      Creates and maintains extended hours back office staff schedule.
      Responsible for being on-call 24 hours a day, 7 days per week.
    • Maintains inventory levels of medical supplies.
      Orders supplies and maintains inventory control in relation to such supplies.
      Provides assistance to Pharmaceutical Reps in collecting, stocking and documenting samples.
      Assures that all outdated drugs and supplies are removed and disposed of properly in a timely manner and consistent with applicable regulations.
      Monitors departmental expenditures to ensure compliance with budgetary parameters.
    • Oversees the preparation of assisting patient for testing.
      Processes various laboratory testing including blood glucose, pregnancy test, etc.
      Obtains results for exams as requested.
      Responsible for safe delivery of patient care performed by self and assigned staff.
    • Maintains knowledge of medical office administration.
      Assists with scheduling patient appointments due to emergencies.
      Assists with computer input to maintain patient information.
      Prepares, types and/or processes provider correspondence including letters, hospital reservations, disability forms and record requests.
      Answers patient phone messages promptly.
      Prepares and processes patient insurance correspondence as needed.
      Assists with establishment and maintenance of policy and procedures for back office operations.
    • Performs other duties as assigned.
