    Responsibilities

    Job Summary
    The Supervisor-Scheduling is responsible for the hiring, training, and supervising personnel related to scheduling. Key activities supervised are daily scheduling of all medical, radiology and surgical procedures, follow-up with patient care areas to ensure appropriate scheduling and planning for patient care activities. Collaborates actively with business partners and physician offices to ensure continuity of patient services. This position must demonstrate exceptional critical thinking and customer service skills to assure that surgeries/procedures are scheduled to support patient, physician and department/hospital needs. Will project a professional image, to include appearance, confidence, knowledge, and organization of work. Communicates using active listening, thinking/analysis, appropriate response, and anger diffusion skills.
    • Supervises all schedulers and other staff assigned to scheduling. Plans, establishes, and revises work assignments. Interviews, selects, and hiring of personnel. Initiates changes in classification, salary action, promotion, demotion, transfer and termination. Audits employee performance to ensure they are performing their duties accurately and efficiently. May settle employee problems and administer appropriate disciplinary action. Establishes and maintains scheduling policies, HIPPA guidelines, procedures and guidelines to ensure optimal execution of the system-wide and facility specific to scheduling.
    • Maintains knowledge of clinical procedures and scheduling needs related to them. Collaborates with Clinical Departments to ensure collection of data and appropriate planning for procedures. Communicates with physician offices to ensure high level of customer service. Corresponds with providers of application support to ensure thorough working knowledge of applications function. Communicates with Patient Financial Services to ensure appropriate planning for patient financial outcomes. Proactively monitors scheduling activity to identify opportunities for increased resource utilization (room, staff, and time).
    • May need to step in as a Sr Scheduler/ Scheduler and schedule surgeries and procedures. Accurately schedules procedures as called in from physician's office. Verifies and obtains certification numbers for certain types of cases as required by insurance companies and/or government agencies as documented in patient charts. Is aware of scheduling limitations in regards to special supply and equipment needs. Communicates pertinent information to appropriate health team members as meets the requirements of the specific department
    • Fosters communication between physician office scheduling staff, anesthesia scheduling, management, physicians and clinical staff to ensure accuracy of surgery schedules and availability of practitioner resource maps on all scheduled procedures.
    • Participates in continuing education activities to maintain expert-level knowledge and skills to serve as a surgery/procedure scheduling expert, and provides knowledge and input regarding scheduling to management on a consistent basis. Supports education and training for staff in the department and mentors new leadership. Performs other related duties as assigned or required.
